What this policy covers
This policy explains what personal data we collect when you use our website or engage us for services, why we collect it, how we use it, who we share it with, how long we keep it, and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
What data we collect
Through the contact form: your name, email address, and the content of your message. Optionally, your company name and the service you’re interested in.
Through scoping calls: any information you choose to share during the call. We don’t record audio.
Through engagements: contact details, billing information, project files, and any business information you share with us during the work.
Through this website: minimal server-side request logs (timestamp, IP address, page requested) for security and reliability. We don’t currently use any third-party website analytics. If we add a privacy-respecting analytics provider in the future (such as Plausible), we’ll update this policy and the cookie policy before doing so.
How we collect it
- The contact form on this website.
- Scoping calls (we take written notes; we don’t record audio).
- Email correspondence with you.
- Invoices, engagement letters, and payment records.
Why we collect it (lawful basis under UK GDPR)
- Responding to enquiries — legitimate interests (running a business, replying to people who contact us).
- Delivering services to paying clients — performance of a contract.
- Sending invoices and keeping accounting records — legal obligation under UK accounting and tax rules.
- Marketing communications (newsletter, where applicable) — your consent, which you can withdraw at any time.
How long we keep it
- Unconverted enquiries (you contact us but don’t engage): 12 months from last contact, then deleted.
- Client records: 6 years from end of engagement, in line with UK accounting rules.
- Newsletter subscribers: until you unsubscribe (you can unsubscribe at any time using the link in any email).
Who we share it with
We share personal data with the following processors only when necessary to deliver our services:
- Stripe — for payment processing.
- Our email provider (Google Workspace or equivalent) — for correspondence and document storage.
- Vercel — for website hosting.
- Substack (if you subscribe to our newsletter) — for newsletter delivery.
- HMRC and our accountant — for accounting and tax compliance.
We don’t sell your data and we don’t share it with third-party marketing companies.
International transfers
Some of our processors are based outside the UK and EEA, including Vercel (United States), Stripe (United States, with a UK entity), and Substack (United States). For transfers outside the UK and EEA we rely on the UK Information Commissioner’s recognised transfer mechanisms, currently the International Data Transfer Agreement and the UK Addendum to the EU Standard Contractual Clauses.
Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you.
- Have inaccurate data corrected.
- Have your data erased, where the lawful basis allows (the “right to be forgotten”).
- Restrict processing of your data.
- Object to processing.
- Receive your data in a machine-readable format (data portability).
- Withdraw consent, where consent is the lawful basis.

We update this policy when our practices change. The date at the top shows when it was last revised. Material changes are communicated to existing clients by email.
